1. Eligibility for Refunds
Refund eligibility is determined in accordance with the terms established in our Cancellation Policy and individual contracts with contracted airline, lodge, and transportation partners:
- Refunds apply exclusively to eligible refundable components of a confirmed itinerary upon official written cancellation.
- Unutilized Services: No partial or full refunds can be granted for voluntary early departures, missed airport transfers, unused hotel nights, or untaken meals during an ongoing tour.
- Voluntary Tour Abandonment: Should a traveler decide to leave a tour early for personal reasons, all associated subsequent expenses are the traveler's responsibility.
2. Refund Processing Timelines
Upon receipt of an authorized written cancellation notice and necessary supporting documentation:
- Our accounts team audits the booking dossier against supplier cancellation penalties within 5 to 7 business days.
- Once supplier disbursements and credits are finalized, approved refund amounts are remitted within 14 to 21 business days.
- Please allow standard international banking clearance cycles for credited funds to reflect on your card or bank statement.
3. Method of Refund
Approved refunds are strictly issued through the original channel and currency utilized during initial booking payment:
- Payments made via credit or debit card will be credited directly back to the identical card account.
- Payments remitted via bank transfer will be refunded to the originating account holder's verified bank details.
- Clients are responsible for any recipient bank intermediary wire fees or foreign exchange conversion variations applied by their financial institution.
4. Force Majeure & Unforeseen Circumstances
In instances where trips are disrupted by recognized force majeure events (e.g., severe natural hazards, international airspace closures, or government travel prohibitions), Virgin Nature Tours will make every effort to recover supplier deposits. Where cash refunds are restricted by airlines or resorts, equivalent travel vouchers valid for future trips will be provided.
