1. Written Notification Requirement

All cancellation requests must be submitted in writing by the primary booking contact via email to Ask@virginnaturetours.com. The official cancellation date is defined as the business date upon which written notice is officially acknowledged by our office.

2. Non-Refundable Items & Exclusions

Regardless of when cancellation notice is served, certain third-party components cannot be recovered due to supplier policies:

• Issued non-refundable scheduled airline flight tickets.
• Non-refundable luxury lodge or safari reserve deposits.
• Official government wildlife trekking permits and conservation fees.
• Visa facilitation and government consular administrative charges.

3. Cancellation by Virgin Nature Tours

In the rare event that Virgin Nature Tours must cancel a scheduled tour due to extreme weather, active travel advisories, or operational safety concerns beyond our control, clients will be presented with the following options:

• Rescheduling to an alternative departure date at no surcharge.
• A credit voucher valid for 18 months towards any Virgin Nature Tours package.
• A full refund for all recoverable, unrendered travel services.

4. Travel Protection Recommendation

Because unexpected illnesses or emergencies can arise at any time, we strongly urge every client to purchase comprehensive travel cancellation and interruption insurance when confirming their booking.
