1. Reservation & Deposit Guidelines
To secure a booking for any Virgin Nature Tours program, travelers must submit complete identification details along with the required deposit:
- Standard Bookings: A minimum deposit of 30% of the total quotation is required upon booking confirmation.
- High-Season & Wildlife Permits: Destinations requiring special entry permits (such as gorilla trekking or restricted national parks) or peak-season lodging require full upfront payment for the permit component.
- Final Settlement: The remaining balance must be paid in full no later than 30 days prior to the scheduled start date of your itinerary. For reservations finalized within 30 days of departure, 100% payment is due immediately.
2. Booking Confirmation & Travel Vouchers
Reservations are finalized and confirmed strictly when:
- Deposit payment has been verified and cleared through our financial systems.
- Accurate traveler names matching official passport records have been submitted.
- Virgin Nature Tours issues your official Confirmed Travel Dossier & Service Voucher via email.
3. Payment Methods & Currency
We accept several secure payment methods for your convenience:
- Major international credit cards (Visa, MasterCard, American Express).
- Direct international bank wire transfers (SWIFT).
- Official electronic payment links generated through our verified gateway.
4. Itinerary Amendments & Additions
If you wish to alter your travel dates, add additional travelers, or upgrade hotel categories after booking confirmation:
- All amendment requests must be submitted in writing by the primary contact.
- Modifications are subject to supplier availability and may incur airline reissue fees or hotel rate differences.
- Virgin Nature Tours does not levy unreasonable administrative fees for minor itinerary adjustments requested at least 45 days in advance.
